Before You Begin
The Most Important Thing to Understand
Syncrostore generates labels as a PDF. It does not control your printer settings.
Most label printing issues occur because the label size selected in Syncrostore does not match the paper size configured in the printer driver.
If labels print:
- Too small
- Too large
- Sideways
- Cut off
- Blank
- Misaligned
The first thing to check is your printer configuration.
Your printer settings must match the label dimensions selected in Syncrostore.
Step 1: Find Items That Need Labels
- Navigate to Inventory.
- Click Sort.
- Select Not Printed.
- Review the list of inventory items.
- Use the search box if needed.
- Select the items you want to print.
Tip
Using Sort > Not Printed is the fastest way to locate inventory that still needs labels.
Step 2: Select a Label Size
- Click Print Options.
- Click Select Label Size.
- Review the available label formats.
Pay attention to:
- Label dimensions
- Barcode type
- Orientation
- Sheet labels vs. thermal labels
- Dual pricing options
Select the label that matches the physical labels loaded into your printer.
Step 3: Create a Custom Label
If your label size is not listed:
- Select Custom Label.
- Enter the width and height of your labels.
- Choose which fields should appear on the label.
- Save the label.
Custom Labels allow you to print fields such as:
- Item ID
- Description
- Vendor ID
- SKU
- Variant Details
- Price
- Dual Pricing Information
Remember:
Custom Labels are the only label type that allow you to choose which fields appear on the label.
Step 4: Verify Label Orientation
Before printing, confirm that the selected label orientation matches how labels are loaded into your printer.
If labels print sideways:
- Verify the label orientation selected in Syncrostore.
- Verify your printer orientation settings.
- Try a label option designed for sideways-loaded labels.
Always test a small batch before printing large quantities.
Step 5: Print Labels
- Select the inventory items you wish to print.
- Click Print Options.
- Click Print Barcodes.
- Review the selected items.
- Adjust quantities if needed.
- Click Print Selected.
Syncrostore will generate a PDF containing your labels.
Review the PDF before printing.
Verify:
- Barcodes display correctly
- Descriptions fit properly
- Pricing appears correctly
- Quantities are accurate
Once confirmed, print the PDF using your browser's standard print function.
Step 6: Configure Your Printer
This is the most important step in successful label printing.
The paper size configured in your printer must match the label size selected in Syncrostore.
Windows- Open Settings.
- Open Printers & Scanners.
- Select your printer.
- Open Printing Preferences.
Verify:
- Paper size
- Orientation
- Rotation
- Margins
- Offsets
Recommended settings:
- Scaling = 100%
- Offset = 0
- Rotation = Default
Do not use:
- Fit to Page
- Fit to Width
- Shrink to Fit
- Automatic Scaling
- Open System Settings.
- Open Printers & Scanners.
- Select your printer.
- Verify paper size and orientation settings.
The paper size configured in macOS must match the label dimensions selected in Syncrostore.
Step 7: Optional One-Click Printing with QZ Tray
After your PDF workflow is working correctly, you may enable QZ Tray.
QZ Tray allows Syncrostore to send labels directly to your printer without opening a PDF.
Installing QZ Tray
- Click Install QZ Tray within Syncrostore.
- Download and install the software.
- Verify QZ Tray is running.
- Refresh Syncrostore.
- Click Detect Printers.
- Select your printer.
- Test label printing.
Important
QZ Tray is optional.
If you experience issues while using QZ Tray, return to the standard PDF workflow to verify the labels print correctly before troubleshooting further.
QZ Tray uses your printer's existing default settings and does not change printer configuration.
Common Printing Issues
Labels Print Too Small
Cause
Printer paper size does not match the selected label size.
Solution
- Verify label dimensions in Syncrostore.
- Verify paper size in printer settings.
- Disable scaling options.
Labels Print Too Large
Cause
Incorrect paper size or scaling settings.
Solution
- Verify label dimensions.
- Set scaling to 100%.
- Disable Fit to Page settings.
Labels Print Sideways
Cause
Incorrect orientation.
Solution
- Verify label orientation.
- Verify printer orientation.
- Test a different orientation option.
Labels Print Blank
Cause
Printer driver or configuration issue.
Solution
- Confirm the PDF displays correctly.
- Test printing outside of Syncrostore.
- Verify printer drivers are functioning.
Labels Are Cut Off
Cause
Incorrect paper size, margins, or offsets.
Solution
- Verify paper size.
- Set offsets to zero.
- Disable scaling.
Nothing Prints
Cause
Printer configuration or QZ Tray issue.
Solution
- Verify the printer works outside of Syncrostore.
- Try the PDF workflow.
- Restart QZ Tray.
- Refresh Syncrostore and detect printers again.
Variant Details Do Not Appear
Cause
Variant information has not been entered on the inventory item or you're using a stock label format that doesn't include variants.
Solution
- Open the inventory item.
- Click the Variants tab.
- Enter variant information.
- Reprint the label.
Best Practices
- Use Sort > Not Printed to quickly identify inventory that still needs labels.
- Print labels in batches whenever possible.
- Review the PDF before printing large quantities.
- Save frequently used custom label sizes.
- Leave printer settings unchanged once configured correctly.
- Test a single label before printing hundreds.
- Get the PDF workflow working before enabling QZ Tray.
