Master Guide to Label Printing in Syncrostore

This guide covers everything you need to know about printing labels in Syncrostore.

Whether you're using a standard desktop printer, thermal label printer, or QZ Tray integration, this guide will help you get labels printing correctly.

Before You Begin

The Most Important Thing to Understand

Syncrostore generates labels as a PDF. It does not control your printer settings.

 Most label printing issues happen because the label size selected in Syncrostore does not match the paper size configured in the printer driver, or because the PDF is printed at a scale other than 100%.

If labels print too small, too large, sideways, cut off, blank, or misaligned, the first things to check are:

1. Your printer's paper size matches the label size you selected in Syncrostore.

2. You are printing at 100% / Actual Size — not “Fit to Page.” 

Step 1: Find Items That Need Labels

  1. Navigate to Inventory.
  2. Click Sort > Print Status Filter.
  3. Select Not Printed.
  4. Review the list of inventory items.
  5. Use the search box if needed.
  6. Select the items you want to print by clicking on each Item

Tip

Using Sort > Not Printed is the fastest way to locate inventory that still needs labels.

Step 2: Select a Label Size

  1. Click Print Options.
  2. Click Select Label Size.
  3. Choose your printer brand at the top: Dymo, iDPRT & Others or Inkjet Sheet.
  4. Choose No Dual Pricing or Dual Pricing (depending on what your store is using).
  5. Pick the size that matches the physical labels loaded into your printer.

Read the tags under each label - they tell you:

  • The barcode type (QR Code or Code 128)
  • Whether it's a thermal roll or inkjet sheet
  • Whether it includes dual pricing
  • Whether its portrait or landscape orientation
  • Barcode type
  • Orientation
  • Sheet labels vs. thermal labels
  • Dual pricing options

Printing on a regular desktop printer (no label printer)? Choose Inkjet Sheet. There are three sheet options — Avery 5160 (30 per sheet), Avery 8167 (80 per sheet), and PLS892 (40 per sheet). These are your only options on a normal printer, and they must be printed at 100% / Actual Size (see Step 5). 

Step 3: Create a Custom Label

If your label size is not listed:

  1. In the Label Picker, Select Custom.
  2. Enter the width and height of your labels. The supported range is 2" x 1" minimum up to 4" x 3" maximum.
  3. Choose which fields should appear on the label.
    • Vendor ID
    • Item ID
    • SKU
    • Description
    • Variant details (color, size, etc.)
    • Credit Price (for dual pricing)
  4. Choose the Barcode type: Standard Barcode (Code 128) - recommended, reads on every scanner - or QR code (only if your scanners read QR codes).
  5. Choose the Printer type: iDPRT & Other Label Printers (default: fills the whole label) or Dymo LabelWriter (adds the margins Dymo printers need).
  6. Click Use This Label.

Remember:

Custom is the only label type that lets you choose which fields appear. Every stock label has a fixed layout and barcode type, shown by the tags in the picker. 

Note the size you entered (for example, 2 × 1). You'll need it to match your printer's preferences in Step 6. 

Step 4: Confirm Your Printer Type and Size (Custom Labels)

The stock labels already print in the correct orientation for their printer, so there's nothing to set for those.

For a Custom label, orientation and margins are handled by the Printer type you selected in Step 3:

• If you're on an iDPRT or other thermal printer, keep iDPRT & other.

• If you're on a Dymo, choose Dymo LabelWriter.

Then make sure your printer's own Printing Preferences have the paper size set to match your label and rotation set to 0 (see Step 6). Always test a small batch before printing large quantities. 

 

Step 5: Print Labels

  1. Select the inventory items you want to print.
  2. Click Print Options.
  3. Click Print Barcodes.
  4. Review the selected items - Syncrostore pulls each item's quantity from inventory automatically.
  5. Adjust quantities if needed.
  6. Click Print Selected.

Syncrostore will generate a PDF containing your labels.

Review the PDF before printing.

Verify:

  • Barcodes display correctly
  • Descriptions fit properly
  • Pricing appears correctly
  • Quantities are accurate

Then print the PDF with your browser's standard print function. 

Critical — set the scale to 100%: In the print dialog, set Scale to Default or Custom → 100% (“Actual Size”). Syncrostore builds labels to print at exactly 100%. Do not use Fit to Page, Fit to Width, or Shrink to Fit — those shift and shrink the labels, which is the #1 cause of misaligned sheets.

Step 6: Configure Your Printer

 This is the most important step for successful label printing. The paper size configured in your printer must match the label size selected in Syncrostore.

Windows — Change Printing Preferences

Printing Preferences is where you set the paper (label) size, scaling, and rotation for your printer. Set it once and Windows remembers it.

  1. Close the label PDF and any open print dialog first.
  2. Open Start → Settings → Bluetooth & devices → Printers & scanners (or type “Printers” in the Start search box).
  3. Click your label printer in the list.
  4. Click Printing preferences.
  5. On the Layout / Page Setup / Advanced tab, set the Paper Size to the size that matches your label (for example, 2 × 1).
  6. Set Scaling / Scale = 100%, Offset = 0, and Orientation / Rotation = Portrait / 0. Turn off any mirror or invert option.
  7. Click Apply, then OK.

If your exact label size isn't in the Paper Size list, you can create it:

  1. In Printers & scanners, click Print server properties (under Related settings).
  2. Check Create a new form, give it a name (e.g., “Syncrostore 2x1”), enter the width and height, and click Save Form.
  3. Return to Printing preferences and choose your new form under Paper Size.

Do not use: Fit to Page, Fit to Width, Shrink to Fit, or Automatic Scaling.

macOS — Set the Paper Size and Save a Print Preset

On a Mac you set the size in the Print dialog and then save it as a Preset so you can reuse it with one click every time.

  1. Open the label PDF, then choose File → Print (or press Cmd‑P).
  2. Choose your label printer at the top of the dialog. Click Show Details if the dialog is collapsed.
  3. Select Print using system dialog.

  4. Set Paper Size to the size that matches your label (choose Manage Custom Sizes… to create one if it's not listed).

  5. Set Scale = 100% and Orientation = Portrait.
  6. Open the Presets dropdown near the top and click Save Current Settings as Preset…

  7. Name it (e.g., “Syncrostore 2x1 Labels”), choose Only this printer (or All printers), and click OK.

  8. Next time you print, just pick that preset from the Presets dropdown — all your settings load instantly.

Step 7: Installing QZ Tray

After the PDF workflow is working correctly, you may enable QZ Tray. QZ Tray lets Syncrostore send labels directly to your printer with one click, skipping the PDF step.

  1. Open Print Options and expand the QZ Tray / advanced print options.
  2. Click Install QZ Tray, then Direct Download, and install it like any other program.
  3. Confirm QZ Tray is running (look for the white QZ printer icon in your system tray).
  4. Refresh Syncrostore, open Print Options, and click Detect Printers.
  5. Select your printer and test a label.

Important:

  • If you're unable to print correctly with the normal PDF workflow above, QZ Tray will only add more issues to solve.
  • QZ Tray is optional and is just a shortcut. If it acts up, uninstall it and return to the PDF workflow.
  • QZ Tray uses your printer's existing settings — it does not change your printer configuration.
  • Get the PDF workflow working first. Installing QZ Tray will not fix a printer that won't print correctly via PDF.
  • Some industrial printers (notably TSC and Zebra) don't work well with one-click printing. If QZ Tray reports success but nothing prints, uninstall QZ Tray and use the PDF workflow.

 

Dual Pricing Labels

Dual pricing is chosen by the label type, not a separate checkbox. In the label picker, choose a Dual Pricing label (or, on a Custom label, check Credit Price).

On a dual-pricing label, the regular (credit) price prints large and bold, with the smaller “CASH” discounted price beneath it.

Barcodes

Every label prints a scannable barcode. For variant items, the barcode encodes the specific variant so it scans straight to the right variant at the register. For non-variant items, it encodes the item's ID. You don't need to configure this — it's automatic.

Common Printing Issues

Labels Print Too Small

Cause: Printer paper size doesn't match the selected label size, or scaling is on.

Solution: Verify the label size in Syncrostore, match the paper size in printer settings, and set scale to 100% (disable Fit to Page).

Cause: Incorrect paper size or scaling.

Solution: Verify label dimensions, set scaling to 100%, disable Fit to Page.

Labels Print Sideways, Clipped, or Only Fill Part of the Label

Cause: Printer paper size/rotation don't match, or (on a Custom label) the wrong printer type.

Solution: In printer Printing Preferences, set the paper size to match your label and rotation to 0. On a Custom label, make sure the Printer type matches your printer (iDPRT & other vs. Dymo).

Labels Print Blank

Cause: Printer driver or configuration issue.

Solution: Confirm the PDF displays correctly, test printing outside Syncrostore, and verify the printer driver.

Labels Are Cut Off

Cause: Incorrect paper size, margins, or offsets.

Solution: Verify paper size, set offsets to 0, disable scaling.

Inkjet Sheet Rows Drift Down the Page

Cause: The PDF is being scaled (Fit to Page) instead of printed at 100%.

Solution: In the print dialog, set the scale to 100% / Actual Size and turn off Fit to Page / Shrink to Fit.

Nothing Prints

Cause: Printer configuration or QZ Tray issue.

Solution: Verify the printer works outside Syncrostore, use the PDF workflow, restart QZ Tray, refresh Syncrostore, and detect printers again.

Variant Details Do Not Appear

Cause: Variant information hasn't been entered on the item, or you're using a stock label that doesn't include variant details.

Solution: Open the inventory item, click the Variants tab, enter the variant details, and reprint. (Custom labels must have Variant Details checked.)

Best Practices

  • Use Sort > Not Printed to quickly find inventory that still needs labels.
  • Print labels in batches whenever possible.
  • Review the PDF before printing large quantities.
  • Print at 100% / Actual Size — especially for inkjet sheets.
  • Save frequently used custom label sizes (and, on Mac, a print preset).
  • Leave printer settings unchanged once configured correctly.
  • Test a single label before printing hundreds.
  • Get the PDF workflow working before enabling QZ Tray.
