How to Use the Profit & Loss Report in Syncrostore
See what your store earned, what those sales cost, and what was left, for one store or all of them.
Run the report
- Pick a period from the dropdown: This month to date, Last month, This quarter to date, Last quarter, This year to date, Last year, or Custom dates.
- For custom dates, pick a start date and an end date, then click Run report.
- If you manage more than one store, use the store picker at the top to choose this store, all of your stores, or another store.
Reading the report
The three cards at the top give you the headline numbers:
- Total income: everything the store earned in the period.
- Gross profit: income minus the cost of goods sold, and what share of income that is.
- Net operating income: gross profit minus the expenses Syncrostore tracks.
Each card also shows the change from the previous period.
Below the cards is the statement itself. Lines with nothing in them are hidden. Tip: hover over or tap any line's name to see what it counts.
Income
Sales
- Vendor items: the pre-tax price of vendor (consignment) items sold, after discounts.
- Store-owned items: items sold with no vendor. This is stock the store owns, so the store keeps the whole sale. Pre-tax, after discounts.
- Returns: the pre-tax value of items customers brought back.
- Card price difference: with dual pricing, the extra that card customers paid over the cash price. Vendors are paid on the cash price, so the store keeps all of it.
- These add up to Net sales.
Vendor rent & fees
- Booth rent: rent charged to vendors in the period. It counts when it's charged, not when it's paid.
- Fees charged to vendors: debits and fees added on the Rent page, including recurring fees.
- Card fees charged to vendors: the card processing fee taken from vendors who opted out of Vendor Choice. Only stores using Vendor Choice see this line.
- Credits given to vendors: credits added on the Rent page that lower what vendors owe.
- Corrections: manual corrections to vendor accounts.
- These add up to Total rent & fees.
Net sales plus Total rent & fees make Total income.
Cost of goods sold
- Vendors' share of sales: what vendors earned on the items sold, which is the sale price minus your commission.
- Vendors' share of returns: vendor earnings taken back when their items were returned.
- Cost of store-owned items: units sold × each item's cost when it sold. An item with no cost on record counts as $0 (see "Items with no cost" below).
Gross profit
Total income minus Total cost of goods sold.
Expenses
- Loyalty rewards redeemed: purchases customers paid for with loyalty points.
This section only appears when there's something in it.
Net operating income
Gross profit minus Expenses. This is the bottom line of the report.
Collected, but not income
Below the statement, a separate box lists money that moved through the store but isn't income. It either belongs to someone else or settles an amount already counted above. None of it is part of profit, and only lines with an amount are shown.
- Sales tax collected: owed to the state.
- Gift cards sold: owed to the card holder until the card is spent.
- Items bought from customers: buybacks. This is stock, not an expense.
- Vendor balances spent at the register: vendors paying with their account balance. The sale itself is already counted in sales.
- Tips: collected for staff.
- Rent & fees paid by vendors: payments on vendor accounts. The rent itself counts as income when it's charged.
- Vendor deposits (taken minus returned): held for the vendor until they leave.
- Paid out to vendors: settlement checks and direct deposits. The vendors' share counts as a cost when the item sells.
- SyncroPay fees charged to vendors: passed through to the payment processor.
- Other vendor account activity: vendor account entries the report doesn't recognize. If this isn't $0, contact support with the dates.
See what makes up any amount
Click an amount in the Total, Previous period or Last year column to open a side panel listing every sale or vendor account entry behind it. Each row shows the date, transaction number, vendor and quantity, plus the store when you're viewing more than one. The list adds up to the amount on the report.
- Click a transaction number to open that transaction. Transactions from your other stores show only their number; sign in to that store to open them.
- The panel lists the newest 1,000 entries, but the total always covers all of them. Pick a shorter date range to see the rest.
- For Sales tax collected, click Open in Taxes to open the Taxes report for the same dates.
- If the panel says the report shows a different amount, a sale was rung up or something changed after the page loaded. Reload the page to update it.
Amounts in the "Collected, but not income" box open the same way.
Compare periods and stores
Use the buttons above the report to add columns:
- By store: one column per store. This appears when you're viewing more than one store.
- % of income: each line as a share of total income.
- Previous period: the period just before, with the $ change and % change.
- Month, quarter and year periods compare against the same stretch of the month, quarter or year before. For example, Oct 1–15 compares against Sep 1–15.
- Custom dates compare against the same number of days just before. If your custom dates are whole calendar months, they compare against the same number of months before.
- Last year: the same dates one year earlier, with the $ change and % change.
Your column choices stay on when you change the dates or stores.
Items with no cost
If store-owned items sold without a cost on record, a blue note at the top of the report shows how much. Those sales count as $0 cost, so gross profit is overstated by up to that amount. To fix it, add a cost to those items, or ring them up under a vendor.
Export
Click Export to download the report as CSV, Excel (.xlsx) or PDF. The file has the same lines and columns you see on screen.
What this report includes and leaves out
- Accrual basis: income counts when it's earned (a sale when it's rung up, rent when it's charged), not when the money arrives.
- Sales are pre-tax and after discounts. Voided sales, gift card sales and rent paid at the register aren't counted as sales.
- It stops at net operating income. Expenses you track outside Syncrostore, such as payroll, utilities and your own card processing fees, aren't included. Share the report with your accountant to complete the picture.
Frequently asked questions
Why doesn't Net sales match the Sales Detailed report?
Sales Detailed totals what customers paid. That includes sales tax and things that aren't sales, like gift cards and rent paid at the register. Net sales counts pre-tax sales only. To see exactly which sales make up a number, click the amount on any Sales line.
Why doesn't Booth rent match what vendors paid?
Booth rent counts rent when it's charged. What vendors actually paid is listed under Rent & fees paid by vendors in the "Collected, but not income" box.
One of my stores is missing from the report.
If a store can't be read, a note at the top of the report names it, and that store is left out of every figure. Contact support with the store's name and the message shown.
