How to Manage your Inventory

Basic Inventory Management

The Inventory page is where you'll spend most of your time as a vendor in Syncrostore. To access it, navigate to the Inventory section under Vendor Tools.

Selecting a Vendor

At the top of the Inventory page, use the vendor drop-down to select the vendor account you want to manage. Note that some vendor accounts may have inventory management disabled by the store administrator — if this is the case, you will not be able to add, edit, or manage inventory for that vendor.

The Inventory Item Card

Each item in your inventory is displayed as a card. Every card includes the following information:

  • In-Store Toggle — indicates whether the item is physically present in the store or elsewhere (e.g., at home). This is informational only and does not prevent the item from being sold
  • Description — the title of the item
  • Item ID — a unique identifier automatically generated by Syncrostore. If you haven't entered a SKU or UPC, the Item ID can be used to look up the item at checkout
  • Price — the current selling price of the item
  • Quantity on Hand — the current stock count
  • Variants — indicates whether the item has variants (e.g., different sizes or colors)
  • Trinket Vault Status — shown if the item is published online
  • Category, Subcategory, SKU, and UPC — displayed where applicable

Adjusting Quantity on Hand

To quickly update the quantity of an item without opening it for editing, use the quantity adjuster on the item card. Clicking the increase or decrease buttons will update the quantity on hand immediately and reflect the change on the card in real time.

Item Card Actions

Each item card has an action bar at the bottom with the following options:

  • Print — generates a label for the item
  • Open / Edit — opens the item for editing across all tabs
  • Mark as Printed — flags the item as having had its label printed
  • Delete — removes the item from your inventory

To delete multiple items at once, check the box next to each item you want to remove and click Delete Selected.

Viewing Variant Details

If an item has variants, a button will appear on its card allowing you to expand the variant view. This shows each variant's ID, SKU, price, quantity, and cost at a glance. To edit the properties of an individual variant, you must open the item and navigate to the Variants tab.

Filtering and Sorting

The inventory grid supports several filtering and sorting options to help you find items quickly:

  • Filter by Category or Subcategory — narrow the grid to items in a specific category
  • Filter by In-Store status — show only items that are physically in the store, or only those that aren't
  • Filter by Trinket Vault status — show only items that are published online
  • Sort by various fields — including printed status, UPC, and quantity (high to low or low to high)
Note: If you are not seeing all of your items, you likely have one or more filters active. Click Clear Filters to reset the grid and display all inventory items.

You can also adjust the number of items displayed per page using the items-per-page selector.

Exporting Your Inventory

To export a copy of your current inventory view, scroll to the bottom of the page, select your desired file format, and click Export. Supported formats are:

  • PDF
  • XLSX (Excel)
  • CSV
  • RTF
  • Document (.doc)

The export will include all items currently visible in the grid, so apply any filters or sorting you need before exporting to get exactly the data you want.
