Understanding the Admin Taxes Report
Getting to know the Admin Taxes Report within Syncrostore
Admin > Reports > Taxes Report
The Taxes Report shows the tax side of every transaction for a date range you choose: what tax you actually collected, what your configured tax rate says you should have collected, and the difference between the two. Use it to prepare a sales-tax filing, confirm a tax-exempt sale was rung correctly, or track down a transaction where the tax looks wrong.
Summary cards
Tax Collected - total sales tax actually taken in.Tax Expected - what your configured tax rate says should have been collected.
Tax Difference - Tax Collected minus Tax Expected. Close to zero is healthy.
If Tax Expected and Tax Difference are blank or read $0.00, your store's tax rate probably isn't configured yet - see the FAQ below.
Where the tax rate comes from
Your rate is set in store settings and is the sum of your state, local, and city tax rates. The report applies it to every transaction to work out what tax should have been collected.Two things to know:
- - If none of the three rates has been set, the report leaves Tax Rate blank rather than treating it as 0%. Anything calculated from it - Tax Expected, Tax Difference, Expected Total, Collection Discrepancy - stays blank too, so you're never shown a discrepancy that isn't real. Set your rates in store settings to turn those columns on.
- - Only one current rate is stored per store. If your rate has changed, older transactions are compared against today's rate, which can show a difference that never actually happened. Keep that in mind when reviewing a period from before a rate change.
Choosing a date range
Use the date range control at the top left, or filter the Transaction Date column in the table. Either way the cards, charts, and table all refresh together.- - Start and end dates are both included.
- - Filtering is by calendar day, not time of day.
- - Transactions list newest first.
Customize
Select Customize (top right) to show or hide columns and panels. Your choices also carry through to exports.
Export
1. Set your date range and any filters first, so the report on screen matches what you want to send out.
2. Pick a format from Export Format: CSV, Excel (XLSX), or PDF.
3. Select Export.
The file contains exactly what's on screen - same range, filters, sort, and visible columns. It builds in your browser, so the page won't reload.
Tip: CSV or Excel is the easiest handoff for a tax preparer; use PDF when the report is filed or shared as-is.
Multi-store viewing
If your store belongs to a group, a store scope picker appears in the header with the group name and store count beneath it.- Choose a scope to report across every store at once; a Store column is added.
- Each store is costed at its own tax rate, so a group spanning several tax jurisdictions still totals correctly.
- Each summary card gains a By store link showing the figure split per store.
- Date range, Customize, and Export apply to the whole scope.
If your store isn't in a group, the picker is hidden and the report covers your store only.
FAQ
Tax Expected and Tax Difference are blank on every row.No tax rate is configured for the store. Set your state, local, or city rate in store settings and the columns will fill in. The report deliberately shows blanks instead of zeros here, because treating an unset rate as 0% would make every sale look like a large overcollection.
Tax Difference shows a discrepancy on an old period that I know was filed correctly.
Only your current tax rate is stored, so past transactions get compared against today's rate. If your rate changed partway through, expect a difference on the earlier transactions. Tax Collected is always the real figure - trust that column.
Why is Effective Tax % higher or lower than my Tax Rate on some sales?
Common causes are a manually adjusted tax amount, a partly exempt sale, or rounding on small subtotals. On exempt sales it should read 0%.
Why doesn't Actual Collected include the tip?
Gratuity is money taken but not taxable revenue. It's excluded so tips don't show up as a discrepancy on every sale that has one. The tip itself is in the Gratuity column.
What does a Collection Discrepancy mean?
The sale's tenders don't add up to what the subtotal and expected tax say they should. A few cents is usually rounding. Anything larger is worth opening the transaction to review.
One of my stores is missing from a group view.
A store is left out if its data can't be reached at that moment; the rest of the group still reports normally. If it stays missing, contact support.
Nothing shows up at all.
Check the date range first - that's the usual cause. If the range is right, confirm you're viewing the store or scope you expect.
