Understanding the Admin Inventory Report

Getting to know the Admin Inventory Report within Syncrostore

Admin > Reports > Inventory Report

The Inventory Report is a live list of everything currently in stock at your store, with the quantity, cost, retail price, age, category, and vendor for each item. Use it to value your inventory, find items that have been sitting too long, check what's published for sale, or hand a full stock list to your bookkeeper.

There is no date range on this report - it always shows inventory as it stands right now.

Summary cards

Total Items - how many units you have in stock.
Total Cost - what you paid for that stock.
Total Retail Value - what that stock is worth at current selling prices.
Average Age - how long the average item has been in inventory, in days.

Compare Total Cost against Total Retail Value to see your built-in margin, and watch Average Age for stock that isn't moving.

One row per item - or per variant

Items without variants appear as a single row.

Items that have variants (sizes, colors, and so on) appear as one row per variant. Those rows share the same description, brand, category, and vendor, but each carries its own SKU, quantity, price, and cost. This is expected - an item with three sizes is three rows, not one.

Items are listed newest first, by the date they were added.

Customize

Select Customize (top right) to show or hide columns and panels. Your choices also carry through to exports.

Export

1. Set any column filters first, so the report on screen matches what you want to send out.
2. Pick a format from Export Format: CSV, Excel (XLSX), or PDF.
3. Select Export.

The file contains exactly what's on screen - same filters, sort, and visible columns. It builds in your browser, so the page won't reload.

Tip: use CSV or Excel for stock counts, valuations, and bookkeeping; use PDF when the list is shared or filed as-is.

Multi-store viewing

If your store belongs to a group, a store scope picker appears in the header with the group name and store count beneath it.

- Choose a scope to report across every store at once; a Store column is added.
- Each summary card gains a By store link showing the figure split per store.
- Customize and Export apply to the whole scope.

If your store isn't in a group, the picker is hidden and the report covers your store only.

FAQ

Why does the same item appear several times?
It has variants. Each size, color, or other variant gets its own row with its own SKU, quantity, price, and cost. The shared details repeat on every row.

Why is my Total Cost lower than expected?
Cost is only counted for items that have a cost recorded. Items entered without one contribute nothing to Total Cost, which also inflates the margin between cost and retail value. Filter or sort the Cost column to find the blanks.

Why can't I pick a date range?
This report is a current snapshot rather than a history. For inventory movement over time, use the sales reports instead.

Does Age (Days) restart when I edit an item?
No. Age is always measured from Date Added. Editing an item updates Date Modified but leaves its age alone.

One of my stores is missing from a group view.
A store is left out if its data can't be reached at that moment; the rest of the group still reports normally. If it stays missing, contact support.

Nothing shows up at all.
Confirm you're viewing the store or scope you expect, then clear any column filters still applied from an earlier look.
