How do I connect QuickBooks Online? (Store Owners)

Connect QuickBooks from Legacy mode Preferences and map your bank account and tax code.

Go to Settings > Overview, click the QuickBooks tile to open store settings on the QuickBooks tab, click Connect to QuickBooks, sign in to Intuit to authorize, then map your bank account and tax code and click Save Account Mapping.

Who this is for: Store admins. Vendors connect their own QuickBooks from their profile (see How to Connect QuickBooks to Syncrostore as a Vendor).

These steps use the New Experience. If your menu looks different, click Switch to New Experience at the top of the page.

Before you start

  • You need an Administrator login. Store settings open on the classic Preferences page.
  • There's no test mode. Connecting links your live QuickBooks Online company.

Connect

  1. Go to Settings > Overview and click the QuickBooks tile (under Paying vendors). The classic Preferences page opens on the QuickBooks tab.
  2. Click Connect to QuickBooks.
  3. Sign in on Intuit's page and grant access to Syncrostore.
  4. You're returned to Preferences with a confirmation.

Map your accounts

  1. On the QuickBooks tab, click Refresh Accounts.
  2. Choose your Payment Destination Account - the QuickBooks bank account sales receipts are deposited to. Only Bank-type accounts work.
  3. Choose your Tax Code - it must match your QuickBooks tax setup.
  4. Click Save Account Mapping.

If no accounts or tax codes appear, create a Bank account or tax code in QuickBooks first (see Intuit's help on adding an account and adding a tax code), then click Refresh Accounts.

What gets sent

After each transaction, sales data is sent to QuickBooks automatically. Vendors who connected their own QuickBooks also receive their share of sales.

To send a date range by hand, go to Sales > Transactions and click Send to QuickBooks (choose From and optional To, then Send). This button only shows once QuickBooks is connected.

Disconnect

On the QuickBooks tab, click Disconnect from QuickBooks. Existing QuickBooks data stays; new transactions stop syncing until you reconnect.

Troubleshooting

  • No QuickBooks tile or tab: your login isn't an Administrator.
  • No Send to QuickBooks button on Transactions: QuickBooks isn't connected yet.
